A Legal Secretary is needed for a temporary position with full-time hours in Wilmington, DE!

 

Our client company is a national law company with over six hundred professional employees. Their attorneys serve clients in over 50 fields and are dedicated to finding solutions for all their clients needs. They offer a small, close-knit, in-office environment that supports the entire team of associates and empowers employees to excel in their positions.

 

The Legal Secretary is responsible for performing a variety of secretarial duties for attorneys and maintains positive relationships with clients, attorneys, and staff. The ideal candidate is organized, able to multitask, and maintains an optimistic attitude.

 

Responsibilities of the Legal Secretary include:

  • Demonstrating competence with computer applications, specifically Word XP, IManage, Excel, CD Entry and Webview, and other firm software.
  • Preparing legal documents from written and oral drafts and dictation, and creating drafts and standard correspondence, when necessary.
  • Filing pleadings with U.S. District Court (Delaware and nationally), U.S. Bankruptcy Court (Delaware and nationally), and Delaware State Courts.
  • Receiving clients and visitors, maintaining good relations with clients, and maintaining confidentiality.
  • Screening incoming telephone calls, providing assistance, and recording messages.
  • Reading, sorting, and dating incoming mail, ensuring that outgoing mail is timely delivered.
  • Maintaining calendar and deadline reminder systems.
  • Opening new files, requesting conflict of interest checks with file room records, and maintaining all client and general files.
  • Conducting periodic review for possible storage of older files and preparing files to be closed.
  • Making appointments and travel itineraries for attorneys.
  • Processing bills, proofing billing sheets, editing bills, and submitting to Accounting in a timely manner
  • Working closely with administrative support staff (office services, word processing, accounting, IT)
  • Ensuring that attorney time is quickly and accurately input into CD Entry.
  • Performing overflow typing, filing, photocopying, and reception relief as time permits and as requested by other attorneys, the Chief Human Resources Officer or the Office Manager.
  • Performing other legal assistant duties as required.

Requirements:

  • Can conduct minor editing (such as punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
  • Basic arithmetic skills.
  • A minimum of 3 years of on-the-job intellectual property litigation experience necessary to produce accurate intellectual property documents and correspondence with minimal supervision.
  • Bankruptcy experience a plus.
  • Familiar with Delaware District Court filing guidelines, judges’ preferences and fees. Additional Delaware Courts (Bankruptcy, Chancery, Superior, etc.) as well as additional U.S. District Courts, a plus.
  • Ability to transcribe legal documents, correspondence, and reports from rough draft or dictation at a level of 70 wpm with minimal errors.
  • An organized multitasker that can prioritize numerous tasks and complete them within established time constraints.
  • Excellent verbal, written, and interpersonal skills.
  • Ability to produce a high volume of work and to prioritize tasks while performing other essential duties.
  • Can work over 40 hours a week if need be.
