HR/Benefits Administrator

HR and Data Administration

  • Maintains human resource information system records and compiles reports from the database.
  • Assists in maintaining compliance with federal and state regulations concerning employment
  • Handles confidential and non-routine information
  • Orders supplies and other office peripherals.

Paychex Administration

  • Monitors employee-initiated changes such as address changes, etc.
  • Collaborates with Payroll Administrator to ensure proper payroll processing.
  • Before payroll is processed, supplies payroll / Controller with a bi-weekly spreadsheet with new hires, terminations, referral bonuses, retroactive pay and anything out of the ordinary.
  • Maintains Paychex database (job titles, salary grades, employee changes, benefits updates, etc.)
  • Ensures bonus payments
  • Updates system annually with new premiums, PTO, etc.
  • Updates system monthly to account for new hire benefit additions, terminations, leave and other changes.
  • Updates PTO i.e., pro-rating for new hires, new PTO milestones, etc.
  • Ensure accuracy of Paid Time Off (PTO) benefits, investigates issues and communicate resolutions to employees.
  • Processes leave of absence requests including FMLA and other types of leave.

Benefits Administration - Administers various employee benefit programs, such as group insurance, life, medical, dental and vision, accident and disability, insurance, and 401k.

  • Manages claims issues, change reporting, approving invoices for payment, liaison with brokers and vendors and communicating benefit information to employees.
  • Serves as a point of contact for employee benefit questions, working closely HR Manager and brokers to assist with benefits planning, decision making, plan set up and issue resolutions.
  • Provides support for all aspects of open enrollment
    • Collaborating with Benefits Broker to ensure systems are ready
    • Distributing benefits enrollment information
    • Scheduling enrollment meetings
    • Trouble-shooting technical and administrative problems and issues.
  • Initiates monthly enrollment, terminations, etc.
  • Manages benefit vendor relationships and audits, such 401k.
  • Compiles reports and spreadsheets and preparing spreadsheets
  • Benefit Changes- deletes due to termination and/or family status changes
  • Invoice reconciliation for all benefit vendors
  • ACA Compliance (1094/1095), reporting in Paychex
  • Annual compliance notifications

 

 

 

Qualifications

  • High school diploma or equivalent.
  • 3+ years administering HR within a payroll system; Paychex highly preferred.
  • 3+ years of benefits administration experience, including utilizing multiple vendor portals, coordinating open enrollment.
  • Ability to work both independently under minimal supervision and as part of a team.
  • Exceptional attention to detail and ability to organize and prioritize a busy workload.
  • Approachable, patient, good listener.
  • Assertiveness and drive to ensure adherence to relevant policies and processes.
  • Demonstrated ability to educate and enhance employee ability to be proactive.
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Highly computer savvy to work in multiple software systems.
  • Ability to maintain confidentiality and a high level of ethics in all matters and interactions.
  • Outstanding written and oral communication skills to communicate with all levels of the organization.
  • Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
