Contemporary Staffing Solutions is currently recruiting Real Estate Admins for a Contract position in Philadelphia, PA.

The ideal candidate should be an organized strong multi-tasker, who is self-motivated with great customer service skills. They should handle high stress situations with ease, and thrive in a busy environment. A strong candidate should have the ability to function in a fast-paced, dynamic environment and a strong desire to help a business grow.

Responsibilities of the Real Estate Admin:

  • Abstract critical information from leases for new and relocated Five Below locations into Tririga (lease management system)
  • Initial invoice processing and co-tenancy system setup for all new and relocated stores
  • Distribute landlord delivery notices to the team
  • Identify square footage variances and work with landlord to resolve
  • Facilitate possession date confirmation between landlords and construction team
  • Create Term Commencement Letter for all new and relocated stores
  • Process and track lease amendments as well as updating system with required information
  • Identify and communicate lease contingency requirements to the team
  • Default notice resolution
  • Sales reporting to landlords
  • Landlord insurance requests/reporting of customer accidents to landlords
  • Update project management system with required information
  • Maintain and update landlord contact information and notice addresses in lease management system
  • Communicate with cross functional departments regarding lease and financial information
  • Assist with invoice processing and account reconciliation/dispute resolution (utilities, % rent, monthly statements, etc.)
  • Assist with landlord expense reconciliations (Common Area Maintenance, Tax and Insurance expenses)
  • General administrative functions such as filing/scanning lease related documents
  • Assist Director of Lease Administration

Requirements of the Real Estate Admin:

  • Bachelor’s degree from four-year College or University or relevant work experience
  • Excellent mathematical skills with ability to calculate figures such as rent, percentage rent and rent adjustments
  • Highly detail oriented with critical degree of accuracy regarding data entry and analysis
  • Proficient in Microsoft office; Advanced knowledge of MS Excel
  • Ability to prioritize and manage multiple project tasks within a fast-paced, dynamic work environment
  • Capable of trouble-shooting issues with logic and ease
  • Ability to communicate effectively with cross-functional teams
  • Lease administration experience is a plus
