Administrative Assistant

Hammonton, NJ | Contract

Contemporary Staffing Solutions is currently seeking an Administrative Assistant for a Contract position in Hammonton, New Jersey.

 

Responsibilities of the Administrative Assistant:

  • Assist with administrative duties:
  • Screen internal and external telephone callers to Insurance Dept
  • Operate office equipment including copiers, scanner and computer
  • Input and retrieve data to/from internal databases and spreadsheets
  • Organize, index and maintain open/closed files and coordinate Iron Mountain pickup/retrieval
  • Print labels and mail letters, including certified mailings
  • Follow up on special projects and assignments, organize own work, set priorities and meet deadline

 

  • Assist with insurance claims duties:
  • Respond to internal/external customer inquiries regarding how to file internal insurance claim
  • Request documentation from Division contacts to support filed claim
  • Respond to Legal Dept requests for additional information related to lawsuits
  • Verify time sheet allocations for contractor damages claims and update database
  • Update claims databases with payment information
  • Type and proofread reports, letters and charts
  • Review all written communication for completeness, accuracy, grammar and format
  • Initiates or draft correspondence for appropriate signature

 

  • Assist with financial duties:
  • Enter monthly claims payments into departmental spreadsheets and databases
  • Code and enter invoices into A/P billing system
  •  Assist with the monitoring of Contractor Damages and Deferred Account collection efforts
  • Communicate with A/P Dept to secure status of payment, as necessary

 

Requirements of the Administrative Assistant:

  • Needs to be professional
  • Needs to be able to follow directions
  • Needs to know Excel
